TheCollect User Data activityenables you to gather inputs from users during a playbook run for use later within the same playbook. It is designed for scenarios where you do not have an existing table to store data, do not require reporting on the collected inputs, and do not need to use the data outside the playbook context.

Important: As of the 26.1 release, this activity is no longer available for new selections in the activity picker. Existing implementations continue to function, but new playbooks should use the Questionnaire activity, which does not require creating a data definition.
When to Use
- If you have no existing table to store user data.
- If reporting on collected data is not necessary.
- If the data is only needed within the current playbook execution.
For use cases requiring a table to store data or broader data usage, consider using the User Form activity.

- User form for data collection: Essential input requiring a pre-created data definition to specify what data to collect.
- Assignment Group and Assigned To: Control who can view, submit, and edit collected data by restricting access to specific groups or users; if unset, all users can access.
- Wait for user input: Option to pause the playbook until the user completes or skips the activity; editable only by users with the playbook.admin role.
- Common activity properties: Includes label, description, run conditions, start rules, and optional delays for scheduling when the activity runs.

This activity is available as a common activity and can be added to a playbook by users with admin, playbook.admin, or pdauthor roles.
Outputs and Data Usage
The collected data is stored in the sysflowdata table and is accessible via the activity’s outputs. You can reference this data in subsequent playbook activities using dot-walking with the pill-picker tool, allowing dynamic decision-making based on user inputs.
Practical Applications
- Collect detailed information such as shipping addresses to use in later playbook steps (e.g., generating shipping labels).
- Capture user responses (e.g., yes/no questions) to guide the playbook flow dynamically.
Additional Notes
For new playbook designs, it is recommended to use the Questionnaire activity instead, as it simplifies data collection without requiring data definitions and is the supported method going forward.

The key input for this activity is the User form for data collection field, under the Inputs section. To provide this input, you must create a data definition first.
Roles and availability
This activity is available as a common activity. Users with the admin, playbook.admin, or pd_author can add this activity to a playbook.
- Collect a shipping address, then reference the address when generating a shipping label.
- Ask the user "yes" or "no" questions, and determine subsequent activities based on the user's responses.
