Draft and Published status for status reports

  • Status reports in Project Workspace use Draft and Published status to help project managers track where a report is in their own process. These visibility labels for your project team don't send, share, or restrict the report.

Setting a status does not send, share, or restrict the report. You distribute reports to stakeholders separately, outside of status.

    Draft state

A status report is created in Draft by default, indicating the report is still being prepared or reviewed. In Draft status:

    • The report is editable, so you can update content, refine AI-generated insights, and incorporate feedback.
    • You can iterate freely before marking the report complete.
    • The report is visible to users with the project_user role.

    Published status

When a report is finalized and you have shared it with stakeholders, set the status to Published. This records, for you and your project team, that the report is complete. In Published status:

    • The report is marked as finalized and is no longer editable.
    • To make further changes, reset the report to Draft, edit, and publish again.

    Benefits

Tracking report status with Draft and Published labels provides the following benefits:
    • Clearer report state - At a glance, you and your team can tell which reports are still in progress and which are finalized.
    • Confident iteration - Draft status lets you refine content, including AI insights, before marking a report done.
    • Simple, predictable behavior - Status is a manual label with no workflow, approvals, or automated distribution attached.

    AI Project health analysis column

The project list view includes an AI Project health analysis column that reflects your most recent status report.

    • When you publish an AI status report, its health analysis rolls up to the project level and appears in this column.
    • When you publish a standard (non-AI) status report, the column is cleared because a standard report contains no AI health analysis to roll up.
