As a result of rapid international growth, SES-imagotag wanted to automate the entire employee lifecycle. With ServiceNow, SES-imagotag now enjoys greater efficiency and better employee service.

Managing the employee lifecycle

SES-imagotag has developed the VUSION retail IOT technology platform to help retailers transform their physical stores into high value digital assets, more automated, data-driven, and connected in real-time to suppliers and consumers. VUSION digital price tags improve pricing agility, accuracy, and integrity; enable omnichannel synchronization of prices, product information, and marketing content; and increase the productivity of shelf replenishment and in-store picking for online orders. VUSION improves employee satisfaction by freeing up time from cumbersome low value-added tasks and allowing staff to focus on customer service and merchandizing tasks.

VUSION connects shelves to the cloud, providing real-time accurate information on product availability and location, allowing for reduced inventory, out-of-stock items, and waste, as well as improved on-shelf availability and merchandizing compliance. VUSION empowers consumers with better product, nutritional, and traceability information at the shelf and enables a frictionless in-store shopping experience with features such as product search, pathfinding, and cashier-less scan and pay features.

Due to SES’ recent rapid growth and systematic expansion into a number of countries, the use of paper and a mishmash of ineffective software tools were hampering the flow of HR-related data. In 2018, the company therefore began looking for a solution to manage the main events in the employee lifecycle: onboarding, offboarding and transitions (HR change), and communicating effectively with the IT team and facility management.

The new colleague onboarding workflow digitizes each contractual stage, creates employee employment records, and automatically assigns all the equipment, services, and access rights that they will need by incorporating their manager and their HR business partner into a single workflow. This ensures that the new colleague is able to start work immediately on their first day, leaving their manager and HR business partner free to focus on integrating them into the business. By automating decommissioning tasks, the offboarding process aims to ensure that all systems are synchronized (organizational structure, Outlook, RM, ERP, payroll). Internal transitions combine the previous two scenarios (managing the offboarding of entity X from the SES-imagotag group and the onboarding of entity Y).

It was the only company able to respond to our needs with a SaaS cloud platform and comply with our security requirements in respect to HR and IT data and DocuSign compatibility for electronic signatures.”

An end-to-end solution

Now, when the HR team oversees the recruitment of a candidate for a role in Germany, for example, the dashboard in the ServiceNow HR Service Delivery solution will trigger a workflow.

This includes key applications for colleague management, authorizing access to services, and obtaining sign-off from the future manager, the candidate, and the HR business partner. The provisioning process is launched at the same time, triggering a request to SES-imagotag’s helpdesk for a PC and a phone, and to maintenance services for office and badge allocation and a company car where applicable. In addition, the HR Service Delivery application automatically generates access to an ERP account, a CRM account, and third-party software for the new employee, based on the rights and tasks assigned to them.

This means that there is now a shared reference tool for all company colleagues and a source of truth for intensive applications. “Information was previously stored in different systems or only available in Excel. Our overall efficiency has increased considerably,” explains François Jonvaux.

The particular appeal of the ServiceNow solution is the way in which all the workflows are connected within a single device. There is no need to switch between different applications which often require adjustments or specific development. Furthermore, all HR documents are compatible with the electronic signature because all ServiceNow devices are linked to the DocuSign solution.

Significant time was previously wasted awaiting responses from prospective colleagues after the HR business partner sent out contracts. ServiceNow solutions linked to DocuSign have reduced the timeframe for signing contracts, while also projecting a positive digital impression of the company. The number of email exchanges has been significantly reduced, improving retrospective traceability and monitoring.

SES-imagotag can now keep pace with its growth thanks to its collaborative platform, which has become a routine portal for colleagues.
